Define what approval covers
A positive response to a sample may concern colour, sheen, texture, material or the complete system. This guide recommends recording those features separately. If only the colour has been selected, do not assume that substrate preparation or a particular product has also been approved. Identify the exact sample being discussed.
Create a short sample record
A useful record can bring together the sample code, project area, date, material information, drawing revision and decision. Photographs should identify which sample they represent. Link any retained reference sample to the intended application description. Sampling scope and charges remain separately agreed services; this record proposal is not a promise of free samples.
Describe each revision
If motif dimensions, colours or application areas change, state the changes explicitly. Record old and new revisions, affected drawings and areas, the decision date and unresolved questions. Any effect on materials, quantities, price or programme needs separate authorised review. A design revision does not automatically approve additional work at the same price.
Provide one current instruction set
Instead of scattered messages, share the current drawing and sample schedule. If a combination such as an earlier layout with a newer colour is intended, incorporate it into the current record. Define the role of the approver within the project organisation. This is an editorial coordination method, not a legal acceptance document or prescribed contractual process; its purpose is to make the operative decisions clear to the team.
